Wedding Consultant
Pros

Should have experience of what is required to make a wedding successful.

Often has many useful contacts for such things as caterers, photographers, printers, bakers etc.

Can take on many of the time consuming tasks.
Cons

Another point of potential communication breakdown.

Can be expensive – usually from $500 to $10,000.  (WeddingTrackPro is only $9.95)

Most of the relevant information needs to still come from the couple and then be communicated to the consultant who may then be being paid to simply record data.

If you put too much control in the hands of your consultant, who will you blame if things don’t go as planned? 

There is a danger that you can be so reliant on the consultant that you have no control over budget, timing, events, vendors etc.

Hard Copy Reference Book
Pros
Contains many ideas, options and recommendations and can be an ideal source to get you started.
Cons

Many different books to evaluate and choose from.  Many of these books can be stuffed full of advertisements.

Hard copy means that everything needs to be hand written.

No automatic summarizing of data e.g. options, budget, expenses, guest numbers, essential contact information etc.

Information sharing is difficult e.g. via hard copies.

Online (web-based) Planning Software
Pros

Usually very detailed and comprehensive.

Can be a good source for ideas and recommendations – as long as you don’t mind trying to find them by clicking on many different links that will take you away from your data entry page.
Cons

Requires access to the internet.  If using a dial up connection, this can be an infuriatingly slow process.

Many different vendors to evaluate and choose from.

Often requires online registration or even a subscription fee.

Many online sites are actually a mechanism to make you wade through hundreds of paid adverts before you can enter your data.  Also, the online site may barrage you with confusing pages and “pop ups”.

Entering of data can be excruciatingly tedious (e.g. 1 page per guest) with no immediate view of the “big picture”.

Your crucial data is subject to the correct programming of many different variables.  Also your access to the data is subject to the availability of the internet, your access to the internet, and the availability of the site and its promised capabilities. 

After spending hours entering data, you may receive error messages when trying to retrieve that data – this can actually increase your stress level!  Ideally you would have access to all your data at all times.

All your data (and that of your guests / vendors) is online and can be vulnerable to the pitfalls of improper security e.g. identity theft, selling of your information in mailing lists, unsolicited phone calls, spam e-mail.

Computer-based (i.e. installed program) Planning Software
Pros

Can be a good source for ideas and recommendations.

Can be very comprehensive with every possible detail taken into consideration.

Can have useful tools that may or may not be overkill e.g. seating manager graphics, automated e-mail reminders for key dates etc.
Cons

Several different vendors to evaluate and choose from.

Usually requires a proprietary program to be installed on your PC – often you have no control over what the program can or cannot do.

Data can often only be entered and available on 1 PC – this in turn could be disastrous in the event of a backup not being available if the PC crashes.  Imagine the scenario where you have spent months planning and entering data only to lose everything 2 weeks before the big day!

Can have an infuriating interface that is difficult or time consuming to navigate through to get to the data.

Of all the products we evaluated, not one of them was intuitive to use and the interfaces were actually a barrier to recording and seeing such simple things as the guest list or the costs for the reception.  Some of the programs have so many "bells and whistles" that they are virtually impossible to use.

The task of data entry can be very, very time consuming e.g. 1 page (screen) per guest with no at a glance view of the impact on the totals e.g. number of guests.  Also – it can often take many clicks to get to the report that you need that then may have to be printed.

Very rare that data can be available (and even updated) on a mobile device (such as a PDA or smart-phone) with Excel capabilities. 

Imagine how useful it would be to have all your information with you wherever you go  (with an Excel compatible PDA or Smartphone).

Usually costs between $30 and $50 – with some of this cost being for packaging, shipping and handling.

After evaluating the different options we realized that the majority of people do not want to be slaves to wedding consultants or time consuming and confusing online or program based interfaces – they just need guidance on what to plan / track and an easy way to handle the information.
